By submitting a reservation request, you acknowledge and agree to the below terms and conditions as well as the responsibilities that you, the renter, will be accountable for during the use of our facilities.
For the purpose of this agreement the “Renter” of any amenity area relates to the resident or tenant that resides or works in Windsor
Park Plaza/Lofts, Galen Lofts or College Plaza. The amenities are not available for booking by anyone who does not live or work in this
Note that events are approved at the discretion of Westcorp Property Management Inc. and some events may not be approved. Queries can be directed to the Community Experience Team at firstname.lastname@example.org
Your amenities card will be programmed for the start time of your booking indicated on the calendar. If you request the kitchen, you must
obtain a key from a Community Experience Team Member prior to your event.
A pre- and post- inspection, which consists of a general walk-through to identify any damages to the room prior to and after use are conducted at the opening and closing of the Amenities Centre. Any damage will be documented and signed off by the Community
Experience Team or Security.
The Amenities Centre is a NON-SMOKING facility in accordance with The City of Edmonton Bylaw #14614. For the enjoyment of all, the Windsor Hall patio area is also a smoke free zone.
Decorations are to be approved by the Community Experience Team. All decorations must be removed at the conclusion of the event
or a fee will be charged to dispose of them. The cost to repair all damage caused by any decorations will be charged back to the Renter.
The Community Events Team must approve all caterers using the kitchen. It is the Renters responsibility to have the caterer contact the Coordinator well in advance of the event.
College Plaza Inc. shall not be liable for any damages resulting from any injury, illness, loss or theft to any person or persons using the
facility. This rental agreement can be varied or terminated at the discretion of the Community Experience Team when deemed
necessary. Residents and guests are required to vacate the premises within 30 minutes of the conclusion of the event, but no later than
1:00 AM. External guests and vendors (DJ’s, Caterers, etc) must enter and exit the hall through the stairs located on 83rd Avenue. Guest parking is located in the main level parkade accessed from 83rd Avenue. Payment is required in this public lot.

The Renter accepts full responsibility for:
- Any costs related to repairing any damage found at the post inspection and the Renter will be billed in their ledger accordingly. Damage that occurs as a direct result of failing to secure the room upon your departure also falls under your responsibility. If you notice any missing property or damage to the room upon entry, contact Security at (780) 918-8196 with details.
- The behavior of all guests. Should any gathering result in an uncontrollable situation and not being corrected by the Renter/Host, in-house security or the Edmonton Police Service will be called and the room closed. The Renter and guests will be required to leave the Amenities Centre immediately.
- The clean up of the space and removal all garbage and recycling from all areas used. Garbage/recycling is to be bagged and be deposited in the large garbage/recycling bins located on the main level parkade. Cleaning supplies are located in the unlocked janitorial room between the washrooms outside the hall and in the kitchen. Please use them to wash the countertops and floors. Failure to clean the facility to its pre-rental condition will result in a professional cleaner being hired, the cost of which will be charged back to the Renter’s ledger.
All alcohol (if any) MUST remain in Windsor Hall or on the patio area and cannot be taken into the main amenity centre. Please be sure to indicate on the interactive calendar whether your event will contain alcohol or not. All Renters are required to obtain a liquor license and MUST provide a copy to the Community Events Team prior to the event and then have it displayed in Windsor Hall for the duration of your event.
Requested movies will be placed in the cabinet and removed in the morning. Any missing movies will be charged back to the Renter. Cost is provided with your booking confirmation. Snacks and beverages are permitted in the Theatre however alcohol is not.
All alcohol (if any) MUST remain in Garneau Room and cannot be taken into the main amenity centre. Please be sure to indicate on the interactive calendar whether your event will contain alcohol or not. All Renters are required to obtain a liquor license and MUST provide a copy to the Community Events Team prior to the event and then have it displayed in the Garneau Room for the duration of your event.
